From Checklist to Corrective Action

An inspection isn’t finished when someone checks the last box. It’s finished once your team fixes the problems it uncovered. Therefore, the Inspection Module carries every inspection through the full cycle:

Build the Inspection

First, an Inspection Admin creates the inspection — name, description, instructions, and as many steps as the job requires. Step types include text entry, dropdown, multi-select, and pass/fail with photo attachments. Reorder steps by drag and drop, or duplicate an existing inspection and adjust it rather than starting from scratch.

Launch and Inspect

Next, the inspection reaches the field one of two ways: managers assign it to anyone in their group on a daily, weekly, monthly, or annual repeat pattern, or the inspector launches it themselves by scanning a posted inspection code. Assignments appear on the home screen with the due date, while automatic reminder and past-due emails keep the work moving. Once the inspection is open, the inspector scans the asset tag on the equipment, vehicle, or location — because that tag does the identifying, nobody wonders which harness or forklift they actually checked. Meanwhile, notes and photos attach to any step along the way.

Act on What You Find

Any failing step can raise an action — corrective, preventative, observation, or suggestion. The inspector assigns that action to a follow-up owner, who then sees it on their home screen until they close it. If you flag a failure as critical, the module marks the asset “Remove from Service” on the spot and immediately emails whichever recipients you choose, with your own custom message.

Reporting and Analytics

Finally, filter every inspection, asset, and result by inspection, group, asset, asset group, user, or date range, with statuses for not attempted, incomplete, not completed, passed, non-critical failed, critical failed, and overdue. In addition, exports carry every field the inspection captured. Save the reports you run often, then schedule them for automatic email delivery.

Frequently Asked Questions

Do we have to use the Life and Safety LMS to use the Inspection Module?

No. The Inspection Module runs perfectly well as a standalone inspection platform. However, if you already use the Life and Safety LMS, you can switch it on at the account level so that inspections and training records share the same users, groups, and logins.

What kinds of inspections can we build?

Anything you can break down into a series of steps. An inspection isn’t limited to ticking boxes — each step captures the kind of information you actually need: a pass or fail judgment, a typed note or measurement, a selection from a dropdown, several selections from a multi-select list, or a photo. For example, you can use it for equipment and machine guarding checks, vehicle and forklift inspections, fall-protection and PPE gear, facility walkthroughs, contractor audits, and site safety observations.

What do the QR codes do?

The module uses two separate codes. An inspection code, posted wherever the work happens, starts an inspection: the inspector scans it and the module assigns them that inspection and opens it. An asset tag, fixed to the equipment itself, identifies what they inspected: with the inspection already open, one scan records the exact asset. Asset tags read as either QR codes or barcodes.

What happens when an inspection records a critical failure?

A critical failure flags the asset for removal from service immediately. In addition, you can enable a per-inspection email notification so that a critical failure sends an alert, with your own custom message, to whichever recipients you designate.

Can we get our inspection data out of the system?

Yes. Filter reports by inspection, group, asset, asset group, user, and date range, then export them in full — including every field the inspection captured, not just the columns on screen. In addition, you can save the reports you run often and schedule them for automatic email delivery.
